A wholesale pinata quote becomes comparable only when every supplier prices the same designs, quantities, sample route, packing assumptions and named FOB handover.
A message such as “Please quote 500 mixed pinatas” feels efficient. But it leaves the factory guessing how many designs are included.
The factory also does not know whether you want catalog products, custom shapes, samples or retail packaging. A price can look precise while most of its assumptions remain invisible.
The fastest useful request has two parts: one row for every design and one short section for the whole order. If a decision is not final, mark it “Open” instead of hiding it.
This structure lets the factory review feasibility and MOQ line by line. It also lets you see when two suppliers include different services before you choose the lowest-looking total.
Wholesale Pinata Quote Template: Start with One Row per Design
Start with the product list. The same design in two colors or sizes may need separate rows when its materials, sample reference, label or packing identity changes.
| Field | What to send |
|---|---|
| Product | Link, image, SKU or artwork |
| Quantity | Units for this design, color and size |
| Target size | Dimensions and the points being measured |
| Use | Break-open, pull-string, mini favor or display |
| Custom work | Must-keep features and acceptable simplification |
| Sample route | Photo, video or physical-sample approval |
| Retail need | Label, barcode, individual bag, box or hang tag |
| Space limit | Preferred pack count or warehouse/carton restriction |
If a field is unknown, write “Open” and ask the supplier to recommend an option. Do not omit the field, because different factories may otherwise build their prices around different assumptions.

The Excel file separates the product list, buyer order information and the factory’s quotation and packing response. It also marks carton data as Open, Provisional or Confirmed.

Oliver’s factory view: I can quote faster when every design has a quantity and every unknown is visible. For a light but bulky product, the status of the packing data can matter almost as much as the unit price.
Add the order-level information
| Order point | Buyer sends | Factory should return |
|---|---|---|
| Samples | Products to sample and approval method | Fee, included revision, timing and courier basis |
| Retail packing | Labels, barcodes and individual presentation | Included pack method and any separate minimum |
| Commercial | Currency, destination and requested trade term | Unit basis, payment schedule, validity and exclusions |
| Timing | Target cargo-ready or required arrival date | What starts the production lead time |
| Control | Destination test, document or inspection need | Feasibility, cost, timing and release evidence |
Our current bulk export quotations are based on FOB, so the quotation should identify the named port. Do not assume that main carriage, import charges or destination delivery are included.
A quote request only needs the decisions that affect price and responsibility. Detailed approval choices belong in the pinata sample guide, while item-specific protection belongs in the pinata packaging guide.
Mark Carton and Freight Figures as Provisional or Confirmed
Pinatas are light but occupy a large amount of space because the hollow body must hold candy, small toys or other party contents. Depending on the design and route, freight can sometimes cost more than the products.
There is no universal packing specification. A mini shape, a large number and an animal with protruding ears or legs can use carton space very differently. The same cartons can also consume warehouse space faster than a buyer expects.
- Estimated units per carton for the proposed design and protection method
- Estimated carton dimensions in a named measurement unit
- Estimated carton count, total CBM and net/gross weight
- The packing version used for the estimate
- The milestone when provisional figures become confirmed
- Whether a foldable or compressible construction has actually been designed and approved
Use the provisional figures for early comparison, then update the freight file after the product and protection method are approved. Our shipping pinatas from China guide explains how the final carton data connects to FOB, freight and warehouse planning.
Compare the same scope, not the same-looking total
| Supplier A includes | Supplier B includes | Question before comparison |
|---|---|---|
| Bulk protection | Individual retail bag | Which presentation does the buyer need? |
| Photo approval | Physical sample courier | Is courier cost included? |
| One label file | Several barcodes | How many SKU versions are required? |
| FOB one port | Different named port | Are local charges comparable? |
Normalize the scope before declaring one supplier cheaper.
If an included service creates no value for your business, remove it from every quotation. If it is necessary, ask every supplier to price it. The wholesale pinata cost guide and supplier comparison checklist cover the next decision without repeating it here.

The email can stay short because the attached spreadsheet carries the design-level information. Replace the bracketed text, attach your references and send the same request to every shortlisted supplier.

This version asks for the commercial decision points without pretending that artwork or carton data is already final.
Subject: Wholesale pinata RFQ — [Company] — [Destination]
Hello [Name / Team],
Please quote the designs in the attached RFQ Product List. For each design, please confirm the MOQ, unit price, sample route and included retail packing.
Order-level information:
- Destination: [Country / City]
- Requested trade term and named FOB port: [FOB Port]
- Target cargo-ready or arrival date: [Date]
- Required labels, tests or documents: [Details / Open]
Please show units per carton, carton dimensions, total cartons, CBM and gross weight as Provisional or Confirmed. Also state the quote validity, payment schedule, production lead-time start and exclusions.
Regards,
[Name / Company]
A custom pinata quote can begin before the artwork is final. Mark the artwork, sample or packaging decision as “Open” so the supplier can separate a planning estimate from a confirmed quotation.
Not ready to complete the whole workbook?
Send the reference images and quantity for each design. Tell us what is fixed and what is still open, and we will identify the missing inputs before preparing the quotation.
Turn the Accepted Quote into a Purchase-Order Checklist
A quotation explains the commercial offer. The purchase order tells both teams what is being released, so the final design table should move into the PO instead of being replaced with a short internal description.
Check that the design quantities equal the commercial total and that every label or barcode matches the SKU list. Also state which payment, file and approval milestone starts production.
- Final quotation number and validity
- SKU-level description, quantity and unit basis
- Approved sample or reference version
- Artwork, label and barcode file list
- Packing assumption and carton-data confirmation milestone
- FOB named port and cargo-ready target
- Payment beneficiary, schedule and required release evidence
Compare the factory’s order confirmation with the PO before materials and packaging are committed. A clean handoff is faster than asking production to decide which document was “more final.”

Send one product list instead of a vague total
List each design, quantity, size and retail requirement, then add the sample route, named FOB port, target date and known packing limits. We will reply against the same scope and mark open or provisional figures clearly.
Frequently asked questions
What is the minimum information for a quote?
Send the product or reference, quantity per design, target size, intended use, packaging need, destination and target date.
Can I request a quote before artwork is final?
Yes. Mark the artwork, sample or packaging decision as Open so the factory can separate a planning estimate from a confirmed quotation.
Why is quantity per design necessary?
Each design may require separate material preparation, handwork, sample control, labels and packing identification.
When are carton dimensions and CBM final?
After the product and protection method are approved. Early units-per-carton, carton dimensions and CBM should be marked Provisional until the packing version is confirmed.
